Track & trace of goods
A means of identification (Data Matrix code) will be applied to the photo products.
Data on introduction of the goods into circulation are entered into the monitoring system.

Information about the transfer of title over photo products is entered into the system:

  • Using the personal account and integration of the accounting system of the economic agent
  • Using electronic universal transfer documents (UTDs) where product codes are specified
Document exchange uses e-document flow (EDF). Where necessary, ID codes of the goods may be aggregated into the shipping package and relayed to the system containing the shipping package codes.

Information about retail sales is transmitted to the end consumer using cash register equipment at the moment a sales receipt is created.
Data Matrix code consists of:
  • Goods code (14 numerical digits)
  • An individual serial number of the goods item generated by the system operator or economic agent (13 digits)
  • A verification key provided by the system operator (4 digits)
  • A verification code provided by the system operator (44 digits)
Data Matrix marking code is applied to the retail package, light industry goods, product label or tag (according to GOST P ISO/IEC 16022-2008 «Automatic identification. Bar-code application. Data Matrix symbols specification» Russian standard).

The price of the digital marking code is approved by Russian Government Resolution No. 577 dated 8 May 2019 and stands at RUB 0.50, exclusive of VAT.
Economic agents dealing with photo products must obtain digital marking codes to introduce goods into circulation in the following cases:
  • Production in the Russian Federation—at production sites or storage locations
  • Importing goods into Russia:

    — If imported from EAEU countries, codes are applied before crossing the state border of the Russian Federation
    — If imported from other countries, codes are applied before customs clearance procedures for release are started
  • Return of goods by the end consumer, if the digital marking code is lost
  • Re-application of marking, if the digital marking code is lost, for instance
  • Taking goods on commission from individuals
To obtain codes, you need to:
  • Register a personal account
  • Enter the information about the goods into the monitoring information system
  • Describe the goods in the catalogue of marked goods
  • Order the marking codes and apply them to the goods
INSTRUCTIONS
To work with digital marking, economic agents will need:
  • An encrypted digital signature (EDS) that may be obtained from a certification centre accredited by the Russian Ministry of Communications and Mass Media
  • A 2D bar-code scanner to read Data Matrix codes
  • A printer
  • An online cash register for retail sales (you may need to update the firmware)
  • Setup of document exchange using e-document flow systems
  • An economic agent may integrate its accounting system with the track & trace system on its own or contact system integrators

Register an encrypted digital signature for your company CEO or sole proprietor
You can obtain a digital signature certificate from one of the certification centres accredited by the Russian Ministry of Communications and Mass Media.
If you already have a digital signature, you can use it.
IMPORTANT: The signature must be issued to a person that is authorised to act on behalf of the legal entity or sole proprietor without a power of attorney and is specified in the Uniform State Register of Legal Entities or Sole Proprietors.

Install the software to work with the digital signature
The software (CIPF, token drivers, etc.) and installation & setup manuals are provided by the certification centre that issued the certificate for the digital signature.

Register in the monitoring system
To complete registration, follow the instructions:
In the window that opens, click the Register link.
In the digital signature field sel ect the company CEO’s encrypted digital signature fr om the drop-down list. The form displays the company information. If no email address displays, please specify one.

Step 1. Participant data
Data of the participant are displayed on the basis of the electronic signature, data in the Uniform State Register of Legal Entities/Uniform State Register of Sole Proprietors. If data are displayed improperly, please contact support: support@crpt.ru.
You must specify contact data and participant type.
Then perform the following actions:
  • Specify product groups you work with
  • Specify your participant types. You can select several types
  • Click on the «Next Step»
This is a mandatory step. You can come back any time to perform the step in your profile section.

Step 2. Users
Several people can work in the track & trace system concurrently. New employees may only be registered from the CEO’s personal account. To add a user, you will need their EDS certificate.
Then perform the following actions:
  • Click Add User
  • Fill in user’s last name, first name and email
  • Upload the EDS certificate of the employee being added and click Add
  • After you add all employees, click Continue
This is an optional step; you can come back any time to the step from your Profile section.

Step 3. Banking details
To work with the track & trace system, you must conclude a contract with Operator-CRPT LLC. For this purpose, you must provide your banking details.
Then perform the following actions:
  • Fill in or select from the list the name of your bank and enter the account details
  • Click Continue
This is a mandatory step to continue working with the system.

Step 4. EDF operators
The track & trace system requires mandatory electronic documents exchange between economic agents. For this purpose, e-documents flow (EDO) systems are utilised. If you have not concluded a contract with an EDF operator, you can connect to a free EDF operator—Operator-CRPT. The free plan provides only exchange of track & trace system documents.
Then perform the following actions:
  • Select the IFTS to which your company reports
  • Fill in the mandatory fields
  • If you plan to use your EDF operator’s services, select your EDF operator from the list and specify the ID
  • You can specify multiple EDF operators to work with the track & trace system
This is an optional step; you can come back any time to the step from your Profile section.

The products must be described before obtaining the codes

The products (including sets and kits of photo products) are described by 11 attributes:
  • Applicant’s taxpayer identification number
  • GTIN product code (if any)
  • Full product name
  • The four-digit code of the commodity subgroup of the unified HS code of the Eurasian Economic Union (’HS’, or Harmonization Code System)
  • Trademark (if any)
  • Country of manufacture of perfumery products according to the All-Russian Classifier of Countries of the World
  • Basic unit of measure (piece)
  • Type of packaging (for consumer packaging)
  • Regulation (standard) number
  • Model/manufacturer’s item number
  • Product type
To register stock balances of photo products, you need to specify the following attributes:
  • Applicant’s taxpayer identification number
  • Product code (if any)
  • Product name
  • Trademark (if any)
  • Two-digit code of the HS commodity group
After describing the products, you can order digital marking codes for them
Each product is given a unique digital marking code. If you have 10 identical photo products, you need to order 10 digital marking codes.
You can import a file with an order for several items at once. To do this, fill out the template and upload it to the order management station.
If your order is rejected, you will be sent the reason for the data processing refusal.
You can pick up the final file with codes in the Data Matrix form from the system in different formats, print it on a label printer and apply a label to the product.
If you have not picked up the marking code from the system, it will be cancelled after 90 days.

After you have received the digital marking codes and applied them to the goods, these goods with the marked codes must be put into circulation
This operation is performed in the member’s personal account, in the ’Documents’ section.
